If you’re staff are unfamiliar with the tender process, you’re less likely to be able to provide that compelling and winning submission than your competitors, who may have more experience. Below we highlight what you’d likely expect from our structured and meticulous approach to assisting any organisation who is looking to secure that tender. Set up initial meetings
In order to better understand your organisational requirements, our team will arrange either an on-site or WebEx meeting to fully explore your requirements. If you have not yet reached that bid / no-bid decision, then we are ideally placed in order to help your organisation better understand the tender requirements and assist in answering any questions. Once you have decided to bid for that tender, we will build up a greater understanding of what it involves in order to create a tailored and effective bid management strategy.
Determine relevant SPOC to input data and time plans
Once we have gained a more comprehensive understanding of your requirements, we will, alongside you assist in the nomination of a SPOC (Single Point Of Contact), based upon examination of the tender requirements and advise according to the type of technical expertise required. Once established, all teams will be made aware of the time limits imposed and a time plan will be issued accordingly.
PQQ / ITT draft
Now that we’ve assigned the relevant resource to the tender questions, it will be a case of ensuring the points outlined in our previous blog posts (see here) are followed in order to ensure compliance is met. Our bid managers will watch over the end-to-end process, assimilating all information and supporting documents in order for you to prepare your responses.
At this stage it is key to remember the following points which are looked at in more depth in previous our articles:
- Read and become familiar with all tender documentation as soon as it’s provided;
- Allow plenty of time to review the relevant documents;
- Read, read, and re-read the question requirements;
- Introduce and approve internal checkpoints (constant review and re-write where necessary);
- Provide all documents/ information requested;
- Do not include anything which is not requested (it will most likely be discounted);
- Adhere to word/character count, page limits and font sizes;
- Ask any and all questions within the given clarification period only;
- Proof read prior to submission;
- Ensure all areas of the PQQ/ ITT have been answered.
